1. Who this policy covers
This policy explains how Rapid Field Horizon (“we”, “the practice”) handles personal information that reaches us through this website, by email or by telephone. It follows the principles of the Act on the Protection of Personal Information (APPI). Rapid Field Horizon is a small management consultancy, and the people who write to us are almost always managers or owners of companies asking about an engagement, so the amount of personal information we hold is small and we want to keep it that way.
The business operator responsible for the information is Rapid Field Horizon, 4-10-10 Tonomachi, Hamada, Shimane 697-0027, Japan. The name of the person in charge of handling personal information is given without delay to anyone who asks for it at info@rapidfieldhorizon.com.
2. What we collect
We collect only what you choose to send us: your name, your email address, a telephone number if you add one, and the text of your message. If you phone us, we note the number and what the call was about. The site has no user accounts, no newsletter list, no shop and no login, so there is nothing else to collect.
If a conversation turns into an engagement, we will also hold the business details needed to prepare a quotation, sign an agreement and issue invoices. That information is handled under the engagement agreement and under this policy.
As with any web server, the company that hosts this site may keep standard technical access logs (IP address, time, requested page). We do not receive these logs as a report, and we do not use them to identify visitors.
3. How the contact form works
The forms on this site are mail links. When you press the button, the site prepares your message and opens your own email application with the subject and text already filled in. Nothing is sent until you press Send in that application, and the message then travels through your email provider to our mailbox. The website itself does not receive, store or process what you type, and there is no database behind it.
Because the message is ordinary email, it is not end-to-end encrypted. Please do not put confidential company documents, passwords or sensitive personal information in a first message; we will agree a safer way to exchange material once we are talking.
4. Why we use it
We use personal information for four purposes only: to answer your message, to judge whether the practice can help with the situation you describe, to prepare and carry out an engagement that you have agreed to, and to meet legal duties such as keeping accounting records. We do not build profiles, we do not score visitors, and we do not use your address for advertising or for newsletters you did not ask for.
We will not use personal information for a purpose beyond these without telling you and, where the law requires it, asking for your consent first.
5. Cookies and local storage
This website sets one cookie, and only after you press “Got it” on the small notice at the foot of the page. The cookie is called sn, holds the value on, lasts 30 days and is used for one thing: remembering that you dismissed the notice so it does not appear on every page. It does not identify you and is not shared with anyone. If you never press the button, no cookie is set.
We do not use analytics, advertising or social-media cookies, tracking pixels or fingerprinting, and the site does not use browser local storage. You can delete the sn cookie at any time in your browser settings; the notice will then appear again.
6. External services
The pages, fonts, images and scripts of this website are all served from the site itself. Nothing is loaded from an advertising network, a tag manager or a third-party font service. When you follow a link to another website, that website’s own policy applies and we are not responsible for it.
Email is carried by the mail providers you and we use. Where those providers process messages on servers outside Japan, that is part of how email works; we do not add any further transfer of your information abroad.
7. Sharing with third parties
We do not sell personal information and we do not hand it to other companies for their own use. We disclose it only where a law requires it, where it is needed to protect a person’s life or body and consent cannot be obtained, or where you ask us to share it. If we ever need a subcontractor or a licensed professional (for example an accountant who prepares our books) to see your information, they will be bound to handle it under the same standard as ours.
8. How long we keep it
Messages that do not lead to an engagement are deleted after a reasonable period once the matter is closed. Information connected to an engagement is kept for as long as the engagement and its follow-up need it. Documents that Japanese law requires us to keep, such as invoices and accounting records, are kept for the statutory period and then deleted. When information is no longer needed for any of these reasons, we delete it.
9. Security
We take reasonable steps to protect what we hold: our mailbox is protected by a login, only the people who deal with your request can open it, and devices that hold correspondence are kept under the same control. No method of sending or storing information is completely safe, and ordinary email in particular travels in the clear, so we cannot promise absolute security. If we ever learn of a leak that is likely to harm you, we will tell you and report it as the law requires.
10. Your rights
Under the APPI you may ask us to tell you whether we hold personal information about you, to disclose it, to correct or add to it if it is wrong, to stop using it, or to delete it. To make a request, email info@rapidfieldhorizon.com or write to the address below. We first confirm that the request comes from the person concerned, then respond without delay. If we cannot meet a request in full, we will explain why.
If you are unhappy with how we have handled your information, tell us first and we will look into it. You may also contact the Personal Information Protection Commission of Japan.
11. Sensitive information and minors
The practice advises companies, not private individuals, and this website is not directed at children. Please do not send us information about health, beliefs, criminal records or similar sensitive matters through the form. If you do, we will delete what we do not need.
12. Changes to this policy
We may update this policy when our practice or the law changes. The current version is always the one on this page, and the date at the top shows when it was last revised. Where a change is significant, we will say so on this page.
